OUR APPROACH

Pre-Tender

  • Define roles and responsibilities of project team.
  • Produce organisational chart of project team.
  • Team learning from previous projects.
  • Engagement with the design team.
  • Develop the strategies and plans needed to effectively execute the project.
  • Compile a list of those sub-contractors you wish to engage – based on laptop study, knowledge within the project team and site visits to other projects.
  • Ensure sub-contractors are financially able to fulfil the contract – request half yearly accounts, cash flow and appropriate credit report.
  • Ensure sub-contractors have the required level of insurance, capacity and capability to fulfil the needs of the project.
  • Obtain CVs of critical staff management.
  • Check the sub-contractors have no HSE prohibition notice against them.
  • Confirm sub-contractors’ key management will be engaged within the project and are available for the duration of the project.
  • Check sub-contractors’ pipeline, current workload and discuss any problems that may have occurred on previous projects.
  • Request references from sub-contractors’ current and past clients.
  • Understand the conditions of planning and building control requirements.
  • Compile the tender documentation and identify the form of contract.
  • Establish evaluation and selection criteria of successful sub-contractors.
  • Agree a timetable for one-to-one meetings with preferred sub-contractors to discuss the project in depth as required.
  • Understand the market conditions. Take into consideration energy, material, fuel, labour, and other inflated project related costs.  Understand how inflation and market conditions affect the tender stage through into delivery of the project and manage the risk.

Pre-Contract

  • Confirm the successful sub-contractors.
  • Agree on the contract sum, mechanism for variations and execution of the contract, including any pre-construction service agreements, bonds, insurances, parent company guarantees and warranties.
  • Conducting a pre-let meeting.
  • Issue the Project Documentation which should include Strategy, Policies, Procedures, Plans and Reports that will be used during the project.
  • Agree the Construction Programme, including subsets such as design, pre-construction, delivery and close out programme, including any milestone dates.
  • Establish and agree on sub-contractors cashflow.
  • Agree on the best methodology to share and store data.

Contract Planning

  • Agree and standardise regular meetings – these are to include:
    • Reporting methods / metrics relating, but not limited to:
      • Quality assurance management.
      • Programme management.
      • Cost plan management.
  • Agree on the Communication Plan.
  • Develop a Risk Management Plan.
  • Agree on the project controls and goals.

Completion

  • Ensure project close out policy and process are being followed.
  • Organise and manage all project practical completions.
  • Sign off all project practical completions or produce a snagging list and rectification period.
  • Complete close out meeting with sub-contractors paying particular attention to:
    • Are the costs accurate and have they been agreed
    • Is the quality of the product in line with the specification / design.
    • Has the programme been met.
    • Is all the data complete, correct and easily located.
    • Have the contractual terms been met by the sub-contractor.
    • Request a final project report from the sub-contractor.
    • Schedule a lesson learnt meeting with the sub-contractor.
  • Finalise, agree any variations, review budgets and cost plan and pay all final accounts where applicable.
  • Agree on the contractual dates and the release of any retention.
  • Agree on rectification periods and any effect this has on the sub- contractors retention.
  • Demobilise sub-contractor.
  • Hold lessons learnt meetings with sub-contractors.
  • Maintain clean project data, store and make available to the client.
  • Take hand over of the Health and Safety file.
